Protect data and trust when experimenting with AI tools
Decide what information can come in, who reviews the output, and how to correct an error before using a tool with business data.

Copying a conversation or spreadsheet to an AI service may seem like a shortcut. But data from customers, employees, partners or the company itself may have usage restrictions and consequences if exposed, retained or reused.
Rate before sharing
Separate public, internal and confidential material. Remove names, contacts, account numbers, credentials and details that could identify someone when they are not necessary. Masked data can still identify a person when combined with other elements.
Understand the tool flow
Read the conditions of use and administrative options: what data is sent, how long it is kept, who can access it and whether it can be used to improve the service. Confirm internal policy and local obligations before including any protected information. If you cannot answer these questions, use fictitious data or do not submit the content.
Define responsibility and correctness
Determine who validates the output, how errors will be fixed, and how users can ask for help. Don't let a tool decide on sensitive issues alone without proper evaluation. Record incidents proportionately and restrict access to necessary information.

Frequently asked questions
Does removing the name make the data anonymous?
Not always. Context, dates and rare details can identify someone. Minimize or replace the information set and assess the risk of re-identification.
Can I paste contracts to request a summary?
Only after verifying authorization, organization policy, tool configuration and applicable requirements. A mock or expunged version may be sufficient to test the process.
Who responds if the output is wrong?
Define in advance a person responsible for the flow and a review and correction mechanism. The tool does not replace organizational responsibility.
