How to choose a use of artificial intelligence that solves real work

AI can help summarize, classify, draft or locate information. The initial question, however, is not which tool is trending: it is which part of a flow takes effort and can be improved without losing accuracy or confidence.

Describe the current task

Record who does the work, with what data, how often, how much rework happens, and what counts as an acceptable result. Prefer a narrow step, such as organizing incoming requests, to vague objectives such as “automating service”.

Assess suitability and risk

Check that the input data is consistent, that the output can be checked, and what would happen if an error occurred. A reversible, low-impact, and easy-to-revise task could be a candidate for a pilot. Decisions about people, health, credit, safety or rights require special caution, competent supervision and analysis of local rules.

Compare the entire process

Measure preparation, review, correction and exception handling time in addition to generation time. Include cost of operation, data protection, and tool dependency. If the review erases savings or quality drops, redesign the flow or don't use AI for this task.

Sebrae noted that small businesses use AI mainly in activities such as marketing and that lack of knowledge can be a barrier; the practical lesson is to develop process and capability along with the tool, not assume automatic benefit. Read the survey.

Frequently asked questions

Which process should I automate first?

Map repeatable tasks, with clear inputs, low error impact, and verifiable output. Test a small part before expanding.

Does AI always save time?

No. Preparation, review and correction are also time consuming; compare the complete process with the current form.

Can I use customer data in a public tool?

Check the conditions of the tool, the organization's policies and applicable rules. Do not send sensitive information without authorization and appropriate safeguards.
